Full disbursement processing of the asbestos litigation settlements (reimbursement of costs advanced, payment of fees, referral fees, liens and settlement proceeds to clients). Create spreadsheets for the Probate Department for completion of motions and Summary of Settlements for clients. Complete Cost Breakdowns, Cost Revisions, File Reviews and prepare a packet for our Medicare lien liaison as needed. Maintain and balance client specific ITF (In Trust For) Accounts for approx. 200 clients. Correspond with FECA and DOLI regarding client liens. Answer client questions regarding settlement disbursement and/or status of funds. Follow-up with clients regarding uncashed checks.
Bachelor’s Degree or equivalent job experience
Account analysis, auditing, familiar with reviewing contractual agreements helpful. Familiar with account reconciliations. Some form of accounts receivable and/or accounts payable experience a plus.
Position requires a detail oriented person with the ability to multitask. Able to evaluate and view the entire picture.
Excel experience a must.
Opens Front lobby each morning and prepare to receive call and visitors according to opening procedures. Answers multi-line telephone switchboard and direct calls as required and deliver excellent customer service to each and every caller on a daily basis.
Review and forward all incoming faxes and e-serve filings to the appropriate staff member(s)
Maintains and publishes the e-serve and fax routing guides.
Assists the mail room and the routing of mail as necessary and when practical.
Signs for hand deliveries made to the front desk and reviews and distributes according to established procedures.
Schedules conference and interview rooms and monitors their usage.
Maintains forms, logs, statistics, and binders as requested by their supervisor.
Closes the front lobby at the end of each business day following closing procedures.
Legal projects such as data entry, mass mailings and scanning and other assignments as needed.
Bachelor’s degree preferred but not required. Prior experience in reception or customer service strongly preferred. Knowledge of legal documents and terms a plus. Good computer skills required.
Experience in a plaintiff’s law firm and an interest in asbestos cases desired. Will be responsible for large case load, thus organization is a must. Duties will include interviewing potential new clients, locating and interviewing witnesses who may be difficult to find, preparing detailed and organized summaries of interviews for legal staff, reviewing documents and depositions, searching for businesses.
Bachelor’s degree strongly preferred. Journalism degree ideal. This position requires excellent communication skills (verbal and written), advanced people locating skills, superior research abilities, the ability to perform in-depth interviews about subject matters that include construction trades, ships, corporations and asbestos products, excellent computer skills and the ability to type at least 40 wpm. Interest and knowledge of asbestos, history, journalism and construction trades are a plus.
Under the general supervision of the Facilities Manager the Facilities assistant performs basic office building and grounds maintenance, repairs and inspections, ordering and stocking of supplies, courier deliveries to various location in the SF bay area.
Provides basic A/V support for trials and firm events, serves as a first responder for our in-house emergency response team, and administers the access system and security.
Good computer skills required, detailed oriented, customer service background a plus. Must have a valid CA driver’s license, a clean DMV record, and be insurable. Able to use basic construction tools. Knowledge of Marin, San Francisco and East Bay roadways is helpful.
Receives, sorts, logs and delivers mail, documents, and packages to the firm’s mail stops and other locations in the firm’s buildings per written procedures. Drives to make pickups. Back-up and break/lunch relief for Reception position.
Some college preferred.
A minimum of six months office experience and/or legal background preferred.
Ability to accurately and consistently process a high volume of work according to set schedule, under high pressure and time constraints, while remaining focused and positive even under stress.
Ability to work as part of a team, sometimes directing the team, to accomplish the job.
Ability to retrieve and carry documents from files weighing up to 45 pounds, to retrieve and replace files from shelves of up to 8 feet high, and to bend down to organize and package documents on a table or floor.
Good computer skills required.
Possess a valid CA Driver’s License, a clean DMV record, and be insurable.
